This Privacy Policy explains how Cairnline Ventures ("Cairnline," "we," "us," or "our") collects, uses, discloses, and protects information about you when you visit cairnline.com or interact with our services that link to this Policy (collectively, the "Site"). Your use of the Site is also governed by our Terms and Conditions.

 

If you engage Cairnline for consulting or advisory services, that relationship is governed by a separate written agreement. If there is any conflict between this Policy and a signed agreement, the signed agreement controls for service data handled under that engagement.

1. Who We Are and Scope

Cairnline Ventures operates in Canada. This Policy applies to personal information we collect online through the Site and related channels, and to limited offline collection connected to Site interactions. This Policy does not cover third party websites, services, or platforms that we do not control.

2. Information We Collect

We collect information directly from you, automatically when you use the Site, and from third party sources.

2.1 Information You Provide

  • Contact and inquiry data. Name, email, phone, company, role, and the contents of any messages or forms you submit.

  • Booking and consult data. Availability, meeting notes you choose to share, goals, and context needed to prepare sessions.

  • Transactional data. Billing details, payment method tokens, and purchase history for paid sessions or projects. Sensitive payment card data is handled by our payment processor and not stored on our servers.

  • Marketing preferences. Newsletter opt in status, communication choices, and feedback.

2.2 Information Collected Automatically

  • Usage and device data. IP address, browser type, device identifiers, pages viewed, referring pages, time on page, and navigation paths.

  • Cookies and similar technologies. Pixels and tags for analytics and advertising measurement. See Section 8 for choices.

2.3 Information From Third Parties

  • Scheduling and conferencing providers. Availability and meeting details required to host calls.

  • Payment processors. Confirmation of payment status.

  • CRM and analytics tools. Aggregated performance data about pages and campaigns.
    Examples of vendors include Wix, Google Analytics, HubSpot, Stripe, and a scheduling tool such as Calendly or Google Calendar. Vendor use may change over time.

3. How We Use Information

We use information to:

  1. Provide, maintain, and improve the Site and our services.

  2. Respond to inquiries, schedule and conduct consultations, deliver requested materials, and manage engagements.

  3. Process payments and prevent fraud.

  4. Send administrative communications, confirmations, and service updates.

  5. Run analytics to understand Site performance and improve user experience.

  6. Conduct legitimate marketing, including newsletters and information about offerings you may find relevant, with opt out options.

  7. Comply with legal obligations and enforce our Terms.

4. Legal Bases For Processing

Where required, we rely on one or more of the following legal bases: consent, performance of a contract or steps prior to entering a contract, legitimate interests such as Site security and service improvement, and compliance with legal obligations.

5. How We Share Information

We share information with:

  • Service providers and processors who perform services on our behalf, such as hosting, scheduling, payments, analytics, CRM, and communications. These providers are contractually obligated to protect your information and use it only as instructed.

  • Professional advisors such as lawyers and accountants, where necessary.

  • Authorities when required by law or to protect rights, safety, and security.

  • Successors in connection with a business transaction such as a merger or asset transfer.

We do not sell personal information.

We are based in Canada and may process information in Canada, the United States, the European Union, or other locations where our providers operate. When information is transferred outside your region, we take steps intended to protect it in accordance with this Policy and applicable law, including contractual protections.

We keep personal information only as long as necessary for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data category and context.

  • Marketing communications. You can unsubscribe from marketing emails at any time using the link in the message or by contacting us.

  • Cookies and analytics. You can manage cookies through your browser settings and through any cookie banner we provide. Blocking certain cookies may affect Site functionality.

  • Access, correction, and deletion. See Section 10 for your rights and how to contact us.

9. Security

We use reasonable technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure. You are responsible for keeping any account credentials confidential and for notifying us of suspected unauthorized access.

10. Your Rights

Your rights depend on your location and applicable law.

  • Canada and British Columbia. Subject to exceptions, you may request access to, or correction of, your personal information in our control.

  • European Economic Area and United Kingdom. You may have rights to access, rectify, erase, restrict or object to processing, and data portability. You also have the right to withdraw consent where processing is based on consent, and to lodge a complaint with your supervisory authority.

  • California. You may have rights to know, delete, correct, and opt out of certain sharing. We do not sell personal information as defined by California law.

 

To exercise your rights, contact us using the details in Section 13. We may need to verify your identity before fulfilling a request.

11. Children

The Site is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child provided information, contact us so we can delete it.

12. Third Party Links and Social Features

The Site may include links to third party websites and integrations with third party tools. We are not responsible for the privacy practices of those third parties. Review their policies before providing information.

14. Changes To This Policy

We may update this Policy from time to time. If we make material changes, we will update the Effective date above and may provide additional notice. Your continued use of the Site after changes take effect means you accept the updated Policy.

15. Additional Notices

  • Do Not Track. The Site does not respond to Do Not Track signals.

  • Automated decision making. We do not use personal information for solely automated decisions that produce legal or similarly significant effects.

  • Service data from client engagements. Information received and processed under a consulting agreement is handled according to that agreement and is not used for unrelated marketing without consent.
